How to Manage Time as a Consultant

As a consultant, you often have to wear many hats and juggle multiple tasks at once. It can be difficult to know how to manage your time and prioritise your tasks in a way that is both effective and efficient.

Here are 12 tips on how to manage your time:

  1. Make a list of everything you need to do

This may seem like an obvious first step, but it is an important one nonetheless. Sit down and make a list of all the tasks you need to complete, both big and small. This will help you to get a better overview of what needs to be done and will also allow you to start crossing things off as you go.

  1. Prioritise your tasks

Once you have your list, it’s time to start prioritising. Not all tasks are created equal, so it’s important to figure out which ones are more urgent and need to be completed first. A good way to do this is to create a “priority matrix” with four quadrants:

– Quadrant 1: Urgent and important tasks that need to be done immediately

– Quadrant 2: Important tasks that can be scheduled for later

– Quadrant 3: Urgent tasks that can be delegated to someone else

– Quadrant 4: Tasks that are neither urgent nor important and can be eliminated

  1. Create a daily/weekly/monthly plan

Once you know what needs to be done and in what order, you can start creating a plan of action. This could be a daily, weekly, or monthly plan depending on the nature of the tasks and how long they are likely to take. Having a plan will help you to stay on track and make sure that you are making progress.

  1. Set deadlines

Along with your plan, it can be helpful to set deadlines for each task. This will ensure that you are staying on schedule and help to keep you accountable. It is important to make sure that the deadlines are realistic, however, as setting unrealistic goals will only lead to frustration.

  1. Block out time in your calendar

In order to make sure that you are actually able to complete the tasks on your list, you need to block out time in your calendar to work on them. This could be an hour here and there or a day or two dedicated solely to getting things done.whatever works best for you and your schedule. Just be sure to stick to the plan as much as possible.

  1. Take breaks

It is important to remember that you are human and not a machine. As such, you need to take breaks in order to stay sane and avoid burnout. Breaks can be anything from taking a walk around the block to watching an episode of your favourite show. Just make sure that you are taking some time for yourself every so often.

  1. Delegate when necessary

There is no shame in admitting that you cannot do everything on your own and that you need some help. If you have tasks that can be delegated to someone else, do not hesitate to do so. This will free up some of your time and allow you to focus on more pressing matters.

  1. Say “no” when necessary

There is only so much time in a day and you cannot do everything. As such, you need to learn to say “no” when people ask you to do things that are not a priority or that you simply do not have time for. This can be difficult, but it is important to remember that you cannot please everyone all the time.

  1. Set aside time for distractions

Even if you are the most disciplined person in the world, there will be times when distractions pop up and derail your plans. Rather than getting frustrated, set aside some time in your schedule to deal with these distractions. This could be 15 minutes at the beginning of the day or an hour at the end. Whatever works best for you.

  1. Stay flexible

No matter how much you plan and prepare, things will not always go according to plan. It is important to be flexible and adjust your plans as necessary. This could mean changing your deadlines or re-prioritizing your tasks. The important thing is to roll with the punches and not get too stressed out about it.

  1. Celebrate your accomplishments

After you have completed a task, take a moment to celebrate your accomplishment. This could be something as simple as taking a deep breath or treating yourself to a cup of coffee. Whatever makes you feel good. Just remember that you are doing your best and that is all anyone can ask for.

  1. Seek help when necessary

There will be times when you simply cannot do it all on your own and you need to seek help from others. This could be hiring a virtual assistant to take care of some of the tasks on your list or asking a friend for advice. Whatever the case may be, do not be afraid to reach out for help when you need it.


Now that you know the basics of time management for consultants, it’s up to you to put these tips into practice. Remember, every consultant’s situation is different, so there’s no one-size-fits-all solution. The most important thing is to find what works for you and stick to it.
